MAIN RESPONSIBILITIES:
Providing proactive and efficient support to those staff listed above in relation to specific aspects of their responsibilities
Assisting with the effective administration and co-ordination of a variety of programmes (e.g. Co-curricular; PSHE; Careers and Employability; Community activities)
Organising regular and ad-hoc meetings with staff/suppliers/speakers (including venue booking, catering, production of Agendas and Minutes as required)
Co-curricular
Assisting with the management of the logistics of the TAA and TLA programmes (NB. This will include liaising with external providers, Highgate staff, parents and pupils)
Helping with the production of the online TAA/TLA option choices’ booklet; the selection of pupil options each term; the accommodation of pupils’ requests for option choice changes
Dealing with registration of TAAs/TLAs e.g. Following up on pupil absences and issuing sanctions on SIMs for non-attendance
Assisting with providing information about last minute staffing/rooming changes
Ad-hoc mailings to parents e.g. Sending reminders to parents regarding fees for particular clubs and societies (linked to eternal providers)
General admin support with regards to supporting the Co-curricular team with running trips/activities/initiatives/events
Providing support with regards to pupil surveys/feedback
Assisting with keeping the Co-curricular online pages up to date with news/photos (i.e. School’s Hero platform)Personal Social Health and Economic Education (PSHE)
Assisting with formatting documents in the ‘house style’ and ensuring that the relevant documents (e.g. PSHE Policy; Year Group Overview; Termly programmes) are uploaded into the appropriate places e.g. Parent Portal; Intranet; PSHE Hero pages; W Drive.
Compiling electronic/hard copies as required and distributing to relevant staff e.g. ST; Policy Compliant Officer
Updating PSHE Lesson Plans to the latest standard template as required
Liaising with the PSHE team and assisting with booking speakers/volunteers for events and organizing flyers/catering/room booking requests and registration procedures
Helping to set up meetings between staff members/pupil PSHE/RSE (Relationship and Sex Education) action groups, and booking rooms for such events.
Assisting with the administration of pupil surveys/staff feedback (usually via Hero)
Supporting the PSHE Co-ordinator as required working with the secretarial assistant to the Deputy Head in order to ensure the successful administration of various Careers and Employability initiatives and events e.g. Careers’ Fair; Employability Days.Helping to facilitate and develop links with parents, former pupils (Old Cholmeleians) and other employers in the community
Assisting with booking speakers/volunteers for events e.g. Careers Q&A and organizing flyers/catering/room booking requests and registration procedures
Supporting the work of the Careers Specialist and Employability Co-Ordinator e.g. Advertising opportunities to our pupils and updating Hero to keep pupils/parents informed
Community
Supporting the Community Team particularly in relation to pupil community service opportunities (e.g. TAA/TLA activities) and other initiatives
Assisting with the administration of the pupil community days (e.g. helping with paperwork such as chasing up missing Consent Forms etc.)
Ad-hoc mailings to parents Taking telephone calls and messages, dealing with general enquiries, re-directing and prioritising as necessary Providing cover for the other School Administrators during sickness, holidays and other absence
Carrying out any such other duties within the post holder’s capabilities as may be reasonably requested from time to time
Price / Salary: Circa £13,000 Part-Time, 3 days per week - Wednesday, Thursday and Friday
