To arrange interpreters, process requests for interpreting, confirm bookings and ensure that appropriate administrative procedures are followed.
* To receive incoming calls and take messages on behalf of all staff in the unit.
* To carry out filing, printing, faxing, photocopying, scanning and other clerical duties as required.
* Drafting of routine correspondence, the retrieval and input of information onto the Language Shop systems including the Database, Outlook, Excel and Word.
* To process requests for translations, arrange translators, confirm specification and ensure that appropriate administrative procedures are followed.
* To assist the Manager in maintaining accurate staff records for personnel purposes.
* To ensure high standards of work and performance are maintained at all times and that a high level of customer service is consistently provided.
* To assist in applying financial and administrative procedures in the payment of sessional staff and to ensure that fraudulent claims are not being made and that duplicate payments are not made.
* To monitor the quality of freelance staff held on the Language Shop register.
* To implement procedures and systems to corporate quality standards that meet the Language Shop's business needs.
* To work co-operatively as part of a team to ensure that priority tasks are carried out effectively, efficiently and meet the required deadlines.
* To be tactful and have respect for the need for confidentiality to all parties concerned, including members of staff, customers and sessional staff.
