Salary: up to £32k DOE
Hours: Monday to Friday 9:00am - 5:00pm
My client is a registered charity within the Christian faith that aims to address the many meaningful and credible questions around the belief by providing an interactive and supportive network of training, events and speakers who work with political, educational and business institutions to help influence and shape Christian understanding. The trust addresses many topical issues and ultimately works alongside the church in order to help its members communicate and defend their faith in the most relevant and intellectual way.
The trust is a global presence and it continues to grow rapidly across the world. This is an ideal opportunity for a bright, engaged and highly organised Executive Assistant to support a forward thinking, witty and highly intelligent International Director in a varied and busy role. You must be a practicing Christian who is looking to work collaboratively within a team environment, whilst adopting a resilient approach in a role that demands autonomy at times, and certainly the use of initiative in all situations.
Key Responsibilities:
* Attend meetings and events with and on behalf of the International Director, representing his views and formulating necessary actions in consultation with the International Director in line with his responsibilities.
* Working closely with the Directors dedicated team (a Research Assistant and a Travel Assistant) to provide administration and communication support, representing him as the first point of contact over telephone, email and in person.
* This role will include management of the Directors email inbox and correspondence on his behalf when required.
* Trip coordination, travel and accommodation booking.
* Take responsibility for receiving and processing all internal and external invitations, including those who invite the Director to speak, write, train or broadcast.
* Maintaining diary planning, coordination of diary meetings and overall annual calendar working in conjunction with global offices.
* Building and maintaining effective relationships and communication at all levels.
* A real focus on communication to the global leadership team and board members, including key Liaison with the office of the President.
* Coordinating global leadership team meetings and itineraries for hosting visitors and global leaders in Oxford.
* Financial administration on behalf of the Director including collating expenses and making payments.
* Coordinate and manage on-going and new projects as agreed with the International Director.
* Attending events as requested, especially large annual UK based event and in-house events.
* Responsibility for some social media on suitable platforms on behalf of the Director, where appropriate.
Skills and Experience:
* Educated to graduate level or equivalent.
* Experience of using the Microsoft Office Suite including email and diary functions is essential.
* Experience of International Travel Management is essential.
* Previous experience as a PA or EA with responsibilities including diary management, coordinating meetings, booking travel and arranging logistics is essential.
* High level of attention to detail able to maintain a high standard of accuracy at all times.
* Ability to take initiative and work with minimal supervision, both independently and as part of a small team.
* Excellent verbal communication and interpersonal skills including experience of dealing with Senior Management or Board Level communications.
* High standard of literacy and written communication.
* Highly organised and able to prioritise a varied work load and deal with conflicting demands on their time.
* Flexible attitude, willingness to take on a variety of tasks and occasional weekend work.
* Open, honest and in sympathy with the aims, ethos and work of the organisation with a willingness to take part in the devotional life of the faith.
* Some experience of using social media platforms in a work context is desirable.
