Role: Administration Assistant
Rate; £9.00 per Hour
Location: New Elizabethian School
Hours: 8am to 3pm Monday to Friday Term Time Only (Flexible)
Job Profile
- Provide a comprehensive customer service/reception desk for all clients, attend to queries and act as a first point of contact for visitors. Assist with general duties that may be required to ensure the smooth running of the college.
- Take calls for the college and ascertain nature of call and transfer to the appropriate person. Provide message-handling service, ensuring accurate details are recorded and passed on accordingly.
- Take responsibility for our vehicle booking system ensuring vehicles are booked for Tutors and keys are signed in and out accordingly.
- Assist with purchase orders and ordering of stationary.
- Provide general administrative support including the general typing of documents, assistance with photocopying, franking, sorting and distributing mail, ensuring the publicity material at reception is kept up to date, etc.
- To provide an effective and efficient administrative support service to the College.
- You will provide a comprehensive administrative service, by responding to initial enquiries, providing relevant information to clients. Using the appropriate system, process meeting room bookings ensuring all information is complete and accurate.
- Ensuring the sign in/out log is utilised by all visitors to the office
- Act in a professional manner at all times and maintain confidentiality of information.
To undertake any other duties which are deemed necessary by the Admin Manager. The key responsibilities contained in this job description are indicative not exhaustive. Duties and responsibilities may be altered in discussion with the post holder.
Maintain an appropriate awareness of and work effectively within the policies and procedures of Cambian. Operate safely within the workplace and maintain a high standard of housekeeping.
Candidate Profile
In order to be considered for this role you must be a fluent welsh speaker
SKILLS AND EXPERIENCE YOU'LL BRING TO THE RECEPTIONIST/ADMINISTRATOR JOB
- Previous telephone experience at customer service level
- Generalist computer skills
- Excellent communication skills both written and verbal
- Previous administration experience would be beneficial
- Must be able to work in a fast paced environment and deal with all enquiries from a range of people confidently
- Previous reception or switchboard experience would be advantageous but not essential.
- Good organisational skills.
- You will need to be comfortable working off your own initiative and be able to pick up new tasks with ease.
